Quarterly Reports
At least quarterly, the facility administrator submits a written report of the facility’s activities to the parent agency These reports include: • Major developments in each department or administrative unit

Comment : Regular reports by individual facilities enable the parent agency to be informed about programs, activities, and problems throughout the system.
Protocols : Written policy and procedure.
Process Indicators : Quarterly reports.
Meetings with Governing Authority 5-JCF-7A-12 (Ref 4-JCF-6A-11)
The facility administrator attends meetings of the governing authority at least annually to facilitate communication, establish policy, and ensure conformity to legal and fiscal requirements. Comment : Annual meetings are an excellent technique to ensure principal staff members are following the policies of the governing authority. They also provide the governing authority with an opportunity to review and evaluate the operation.
Protocols : Written policy and procedure.
Process Indicators : Minutes of the governing authority’s meetings and agendas; correspondence with governing authority.
Monthly Meeting 5-JCF-7A-13 (Ref 4-JCF-6A-12)
There are regular meetings, at least monthly, between the facility administra tor and key staff members Comment : Regular channels of communication are necessary for delegating au thority, assigning responsibility, supervising work, and coordinating efforts.
Protocols : Facility policy and procedures.
Process Indicators : Monthly meeting minutes.
